Classy Bird – Food & Craft Fayre

Stallholder Terms & Conditions

1. Booking & Payment

  1. Stall bookings are confirmed only once full payment has been received.

  2. Payments must be made upon receipt of the invoice.

  3. Classy Bird reserves the right to refuse any application that is not suitable for the event.

2. Stall Allocation

  1. Stall locations will be allocated by the event organiser.

  2. Requests for specific positions will be considered but cannot be guaranteed.

  3. Stallholders must remain within the space allocated to them.

  4. Stallholders must not block or infringe another stallholders table.

3. Set-Up & Pack Down

  1. Stallholders must arrive during the allocated set-up time.

  2. All stalls must be fully set up before the event opens to the public.

  3. Early pack down is not permitted unless agreed with the organiser.

  4. Stallholders are responsible for clearing their area and removing all rubbish at the end of the event.

4. Stall Equipment

  1. Stallholders must provide their own tables, coverings, and display equipment unless otherwise stated.

  2. In the case of an outdoor event, Stallholders must provide their own gazebo's, unless otherwise stated.

  3. All displays must be safe and stable.

  4. Electrical equipment must be PAT tested if used.

5. Food Traders

  1. Food traders must hold a valid Food Hygiene Certificate and comply with local food safety regulations.

  2. Proof of Public Liability Insurance and food hygiene rating will be requested.

  3. All food must be prepared, stored, and sold in accordance with current health regulations.

6. Insurance

  1. All stallholders must have valid Public Liability Insurance (recommended minimum £5 million cover).

  2. Stallholders are responsible for their own products, equipment, and personal belongings.

7. Product Guidelines

  1. Only products listed on the booking application may be sold.

  2. The organiser aims to maintain a good variety of stalls and may limit similar products.

  3. All items must be legal, safe, and suitable for a family-friendly event.

8. Cancellation Policy

  1. If a Stallholder cancels:

    • More than 28 days before the event – a refund may be offered at the organiser’s discretion.

    • Less than 28 days before the event – no refund will be given.

  2. If the event is cancelled by the venue/organiser due to circumstances beyond control (e.g. severe weather, venue issues), refund policy is:

    • Outside event - no refund will be available

    • Indoor event - a full/partial refund may be possible

9. Liability

  1. Classy Bird will not be responsible for loss, damage, or theft of Stallholder goods or equipment.

  2. Stallholders participate at their own risk.

  3. Stalls must be attended at all times

10. Behaviour

  1. Stallholders must behave respectfully towards organisers, other stallholders and visitors.

  2. Anyone causing disruption or not following event rules may be asked to leave without refund.

11. Agreement

By booking a stall at a Classy Bird Food & Craft Fayre, stallholders agree to these Terms & Conditions.
